  • Matric / Grade 12.
  • Minimum 2 years' experience in a similar role.
  • Valid driver's licence.
  • PC literate / computer literate.
  • Strong administrative and organisational skills.

DUTIES & RESPONSIBILITIES

  • Provide general supervision and perform administrative audits to ensure that all functions are handled accurately, correctly and timeously.
  • Identify exceptions and ensure that these are highlighted and escalated to the Senior Branch Administrator.
  • Manage the day-to-day running of the front counter.
  • Ensure that all relevant company policies and procedures are adhered to.
  • Manage and account for all cash receipts and petty cash.
  • Supervise the Branch Assistant, Storeman and/or Picker Packer within the warehouse.
  • Liaise with the Senior Branch Administrator regarding matters relating to effective sales delivery.
  • Manage the repair process and ensure effective coordination between the satellite branch, testing and repairs, main warehouse and logistics.
  • Assist in ensuring that customer service and sales delivery requirements are met.
  • Work towards achieving the set branch sales targets.
  • Provide general administrative and operational support to the branch.
  • Perform any other duties and tasks reasonably assigned by management.

Qualifications and role requirements:
  • Matric / Grade 12.
  • Payroll Diploma or similar qualification.
  • Minimum 5 years' experience in a similar payroll role.
  • Minimum 5 years' experience in a large payroll environment.
  • Minimum 5 years' experience with PaySpace.
  • Excellent knowledge of NBCRFLI and monthly returns.
  • Knowledge of other Bargaining Councils will be advantageous.
  • Strong knowledge of the Basic Conditions of Employment Act (BCEA).
  • Knowledge of leave and bonus provisions.
  • Excellent numeracy and accuracy skills.
  • Strong attention to detail.
  • Computer literate, particularly Microsoft Office.

DUTIES & RESPONSIBILITIES

  • Process weekly, bi-weekly and monthly payrolls for approximately 1,200 employees independently.
  • Ensure accurate and efficient payroll processing.
  • Calculate and process payroll information to ensure employees at all sites are paid accurately and on time.
  • Process increases, earnings, deductions, fringe benefit tax, allowances and bonuses.
  • Process BCEA leave and employee movements, including transfers, promotions, resignations, retirements and deaths.
  • Complete administrative procedures and documentation relating to employee movements.
  • Review payroll documentation for completeness and ensure required standards are maintained.
  • Identify and escalate non-compliance where appropriate.
  • Plan and manage workload to meet payroll deadlines.
  • Maintain accurate records of all transactions, payments and third-party payments.
  • Complete the final payroll run and print all required reports.
  • Print payroll reconciliation reports.
  • Generate payroll reports using Microsoft Excel.
  • Accurately invoice all payrolls.
  • Perform basic reconciliations and general payroll administration.
  • Manage and resolve payroll and client-related queries.
  • Administer Pension and Provident Fund processes, including new members, retirements, deaths and withdrawals.
  • Complete NBCRFLI monthly returns and ensure compliance with applicable requirements.

Duties & Responsibilities

  • Administration

    • Compile weekly and monthly company and client reports, including HR, operations, absenteeism and incident reports.
    • Prepare and submit daily and weekly reports relating to timekeeping, absenteeism, IR matters, leave and employee incidents.
    • Maintain accurate employee files and ensure that records are kept up to date.
    • Capture and submit employee timesheets.
    • Collate and submit employee payroll and pay-related queries.
    • Administer employee contracts.
    • Identify and escalate non-compliance where appropriate.
    • Perform general administrative duties as required.

    Recruitment

    • Conduct bulk recruitment to maintain a constant supply of suitable candidates for placement.
    • Ensure temporary placement targets are achieved and client orders are filled.
    • Ensure client recruitment requirements are met in accordance with company policies, procedures and client expectations.
    • Adhere to the company's recruitment and selection processes and ensure full compliance.
    • Assist with filling permanent vacancies and higher-level positions in accordance with client requirements.

    Operations

    • Assist with contacting employees regarding collection and drop-off points, site allocation and placement.
    • Assist with coordinating the necessary due diligence before employees are placed on site.
    • Ensure employee placements comply with company and client requirements.
    • Assist with employee inductions in accordance with company and client requirements.
    • Attend meetings where required, including taking minutes and providing relevant input.
    • Provide general operational support to ensure the smooth running of the site.
